Financial Policies

The MUS financial policies available for download.


Check Request Form

Pick up form in the MUS office or download it here. Fill in this form and attach the printed invoice/receipt. Please ensure that you specify the event that the payment should be allocated to. Drop it off in the MUS office. If you would like to have it mailed, please specify on the form. Checks will be ready within 10 DAYS. Pick up your check in the MUS office.


Event Budgets

All MUS events will be assigned an MUS consultant. A preliminary budget must be submitted at least 1 month prior to your event to your MUS consultant and to the MUS VP Finance vpfinance.mgmt@mail.mcgill.ca. A meeting will be scheduled with your MUS consultant to discuss the preliminary budget. Updated budgets will be required at the discretion of the consultant.


After an event has taken place, committees must provide the VP Finance with a statement of actual cash flows. This statement must be approved before all check requests are reimbursed.

Tables and Postering


Table Bookings


Table bookings for Bronfman lobby are now going through the MUS. Email mustablebooking@gmail.com to book your table, at least 48 hours in advance. You must include your group name, purpose, contact person, and contact number in your email.


You will receive a confirmation email. Your table is not final and you may be bumped from your spot until you have received your confirmation email.


Guidelines:


  1. You may only table a maximum of 3 times a semester, and no more than 2 days in a row.
    1. If you are a MUS club or committee, this rule does not apply.

  2. You must stick to the stated purpose of your table, e.g. if you are selling samosas, you can only sell samosas, not samosas and baked goods. If you did not mention you are selling food, you may not under any circumstances sell food.
    1. There may not be more than 2 bake sales, or 1 sale for any other food type (samosas, TCBY etc.) per day.

  3. Building guidelines dictate that there can be absolutely no electrical devices in the lobby. This includes grillers for grilled cheese sales, and anything else that plugs into the wall.

  4. Procedure for the day of your Table Booking:
    1. Report to Antero Branco (the Bronfman Porter) to pick up your table in the morning between 9AM and 12PM. Antero’s office is situated in the lobby of the Bronfman Building, room 103, between the two sets of glass doors leading to Sherbrooke Street.
    2. At the end of the day, it is your responsibility to return your table to storage. Also, please pick up after yourselves.
    3. Please do not sit on the tables. They are fragile and they will break.

  5. Violation of any of the above rules will result in a ban for the rest of the semester, or a ban for next semester if this is the last time you are tabling this semester.
    1. It is your responsibility to read the guidelines and inform the person in charge of tabling.
    2. The tables are numbered so we know which table belongs to whom.

  6. Any decisions made by MUS in collaboration with the Bronfman Porter are final.


Poster Approval


If you wish to put up posters in the Bronfman Building, they must first be approved by a member of the MUS. Please bring your posters to Room 039 in the Bronfman Basement. All posters that do not bear the MUS stamp will be removed. Every MUS activity is allowed a maximum of eight posters. All other campus activities are allowed a maximum of four posters. Only posters that promote student activities will be allowed in Bronfman (i.e., random posters about income tax will not be allowed). Posters must be removed after the date of the event or your group will be penalized in the future.

Appointed Positions Package


Every year, the MUS produces an Appointed Positions Package (APP) which includes all of the positions available on organizing committees for the subsequent year. There are over 170 appointed positions. Students are invited to apply to organizing committees in March when the package is released.

The MUS holds two elections and referenda periods per year:
   • End of September — First Year President elections and referenda
   • Beginning of March — General MUS executive elections and referenda
